Sesser-Valier Community Unit School District 196 Board of Education met May 21.

CALL TO ORDER

A special meeting of the Board of Education of Sesser-Valier Community Unit School District No. 196 was held in the Sesser-Valier High School Conference Room at 8:30 AM. The meeting was called to order by President Teresa Stacey at 8:30 AM.

ROLL CALL

District Secretary Vera Malinee called the roll with the following result:

Members Present: Acosta, Hicks, Rounds, Schoenbaechler, Stacey

Members Absent: Ketteman, Loucks

Staff Present: J. Henry, V. Malinee, B. Dilliner

Visitors Present: None

PUBLIC COMMENT & CORRESPONDENCE

None

SUPERINTENDENT'S REPORT

Superintendent Henry presented the information on the process for the selection of a vendor for the Parking Lot Paving Project (award low bid; approve contract as substantially presented; authorize Superintendent to enter into agreement including alternates, authorize Superintendent to approve change orders, as needed). He informed the board that the actual bid came in as budgeted including a $40,000 contingency.

Superintendent Henry presented the Parking Lot Paving Project bid tabulations with a determination of low bid. He discussed the three alternates included in the bid specifications (added turn lane; new concrete; adding milled asphalt to edge). He presented the district architect's recommendation to accept the bid from Samron Midwest Contracting Inc.

Discussion followed regarding the Samron Midwest Contracting Company and milling asphalt to be used on shoulder and possibly at old gym.

NEW BUSINESS

REVIEW BIDS & AWARD LOW BID FOR SUMMER, 2020, PARKING LOT PAVING PROJECT: A motion was made by Rounds and seconded by Hicks to approve the bid analysis/award recommendation of the District's architect and award the bid for a parking lot paving project to Samron Midwest Contracting Inc.

Roll call voting was as follows:

Yeas: Hicks, Rounds, Schoenbaechler, Stacey, Acosta

Nays: None

There being five (5) yeas and zero (0) nays, the president declared that the motion carried.

APPROVAL OF PARKING LOT PAVING PROJECT CONTRACT AND/OR ADDITIONAL ALTERNATES: A motion was made by Acosta and seconded by Rounds to approve a parking lot paving project contract with Samron Midwest Contracting Inc., substantially as presented.

Roll call voting was as follows:

Yeas: Rounds, Schoenbaechler, Stacey, Acosta, Hicks

Nays: None

There being five (5) yeas and zero (0) nays, the president declared that the motion carried.

AUTHORIZATION FOR DISTRICT SUPERINTENDENT OR DESIGNEE TO ENTER INTO PROJECT CONTRACT AND/OR SELECT ADDITIONAL ALTERNATES ON BEHALF OF BOARD: A motion was made by Hicks and seconded by Acosta to authorize the District Superintendent or his designee to enter into a parking lot paving project contract, including Alternate Option #1, Alternate Option #2, and Alternate Option #3, as presented.

Roll call voting was as follows:

Yeas: Rounds, Schoenbaechler, Stacey, Acosta, Hicks

Nays: None

There being five (5) yeas and zero (0) nays, the president declared that the motion carried.

AUTHORIZATION FOR DISTRICT SUPERINTENDENT OR DESIGNEE TO AUTHORIZE/APPROVE SUMMER, 2020, PARKING LOT PROJECT CHANGE ORDERS, AS NEEDED: A motion was made by Acosta and seconded by Rounds to authorize the District Superintendent or his designee to authorize/approve parking lot project change orders on an as needed basis.

Roll call voting was as follows:

Yeas: Rounds, Schoenbaechler, Stacey, Acosta, Hicks

Nays: None

There being five (5) yeas and zero (0) nays, the president declared that the motion carried.

ADJOURNMENT: A motion was made by Schoenbaechler and seconded by Rounds to adjourn.

Voting was as follows: All voted yea. There being five (5) yeas and zero (0) nays, the president declared that the motion carried.

The meeting adjourned at 8:47 AM.
